The plain-English terms of service.
What your shop can expect from us, what we expect in return, and the one promise underneath both: your shop's data stays your shop's.
Last updated November 7, 2026
You pay a flat monthly price per shop and can leave whenever you like. Use CarLifeOS to run a lawful repair business. Your records are yours, and you can take all of them with you. The assistant can be wrong, so check what you approve. Details below.
Who these terms are between
These terms are an agreement between CarLifeOS, a sole proprietorship based in New York ("CarLifeOS", "we"), and the business that signs up for the service ("the shop", "you"). The person who signs up confirms they are an adult with authority to bind the shop. By using CarLifeOS, the shop agrees to these terms and to our privacy policy.
Your account
- Give us accurate details when you sign up, and keep them current.
- Every person at your shop gets their own login. Keep logins private, and tell us straight away at hello@carlifeos.com if you think one has been misused.
- The shop is responsible for what its staff do in its account, including every change they approve.
Using CarLifeOS
Use CarLifeOS to run a lawful repair business. Please do not:
- break the law with it, or use it to send spam or messages people did not agree to receive;
- try to get into another shop's data, test or get around our security, or overload the service;
- copy, resell, or rent out the service, or let someone outside your shop use your account.
You are responsible for having the right to put your customers' information into CarLifeOS, and for following the rules that apply to your shop. CarLifeOS is built to help with New York's repair-shop paperwork rules, but what you hand a customer is still your document, and none of this is legal advice.
Your data stays yours
Everything your shop puts into CarLifeOS, and everything it creates there, belongs to the shop. You let us store, process, and display it only to provide the service to you, as the privacy policy describes. We never sell it and never use it for advertising. Every week CarLifeOS exports your customers, vehicles, and repair history to plain spreadsheet files, and you can trigger a fresh export any time.
The assistant
The OS assistant looks things up and prepares work for your shop, and every action it takes is logged. AI can be wrong, so read what it prepares before you approve it; the shop is responsible for what its staff approve. On plans where the shop uses its own AI account, that account is between the shop and the AI provider, under the provider's terms, and the shop pays the provider directly.
Other services you connect
Some features work with services run by other companies, such as an AI provider or a Google account connected for Google Calendar. Connecting one is your choice and you can disconnect it at any time. Your use of those services is also governed by their own terms, and they can change or stop working in ways we do not control; when that happens we will tell you and do what we can. Exactly what we read from a Google account, and what we never do with it, is in the privacy policy under Google user data.
Paying for it
Prices are on the pricing page, per shop, in US dollars, and billed in advance, monthly or annually. Prices do not include sales tax, which we add where the law requires it. A monthly payment is not refunded, but after you cancel you keep the service until the end of the month you paid for. On annual billing we refund the full months left after you cancel. There is no contract: plans are month to month and you can cancel whenever you like. The optional counter iPad is the one exception, with a 24-month term because it involves hardware. If we change a price, we will tell you at least 30 days before it applies to you. If a payment fails, we will let you know and give you time to fix it before we pause the account.
The shop phone
The shop phone is an optional add-on with its own price on the pricing page. It is billed in advance with your plan, starting on the day the line goes live. Setup usually takes about two weeks, and some of that timing belongs to the phone carriers, especially when a number is moving from another carrier. Calling is unlimited within the United States and Canada for a shop's ordinary business calls; if a line is used far outside that, we will talk with you before anything changes. The line cannot call 911, so keep another phone at the shop for emergencies. A number the shop brings, or gets through us, belongs to the shop: if you cancel the phone or leave CarLifeOS, we help you move it to your next provider. You can cancel the phone on its own at any time, the same way as a plan.
Keeping the service running
We work to keep CarLifeOS available and your records safe, but no online service is up every minute. We may need short maintenance windows, and we keep improving the product, which means features change. If a change would take away something your shop relies on, we will tell you ahead of time.
Disclaimers
Apart from the promises written on this page and in the privacy policy, CarLifeOS is provided "as is" and "as available," without warranties of any kind, to the extent the law allows. We do not promise that it will be error-free, that the assistant's suggestions will be correct, or that it will meet every need your shop has.
Limits on liability
To the extent the law allows, neither side is responsible to the other for indirect or consequential losses, such as lost profits or lost business, and our total responsibility for any claim is limited to what the shop paid us in the 12 months before the claim. These limits do not apply to fees the shop owes us, or to losses caused by fraud, gross negligence, or deliberate wrongdoing. Some places do not allow these limits, and where they do not, they do not apply.
Ending the service
You can cancel at any time. We may suspend or close an account for non-payment or a serious breach of these terms, and we will warn you first unless the problem is urgent, such as a security threat. Either way, your data is still yours: export it before you go, or ask us and we hand you the files, including your website's domain and content. After an account closes we return or delete its records on request, keeping only what the law requires us to keep.
Changes to these terms
If these terms change, the new version is posted here with a new date, and changes that meaningfully affect shops are announced to them directly before they take effect.
Governing law
These terms are governed by the laws of the State of New York, and any dispute goes to the state or federal courts in Queens County, New York. Before anyone goes to court, write to us and we will try to sort it out directly.
